Creating Projects and Work Requests


The etrack hierarchy or business structure is 100% configuable.  The example below is of a typical building architects project stages.  However, your structure might be Project / Phase / Task or Job / Release / Activity / Step or anything you wish to any depth.   We will help you configure eTrack and it can be changed over time with ease.

 

The same item can exist in multiple places in the tree.  For example a project may be related to a Client, a Team and Active Projects.  

Reports can be run from any level, eg: across all you projects, a client's projects, for a single phase, for a person or for a group of people etc.

The complete tree structure can be as large as you wish, however each person's view of the tree can be as simple as you wish.

Moving, copying or relating items is a simple drag and drop.

Powerful workflow's can be created between the items.

One item can be 'changed' into another item with a click.

 

Budget Work and Assign Resources

 

There are currently over 50 different 'views' of the etrack data, represented as subtabs which can be combined in any way.    In the example below there are Stage, Task and Disbursement views. 

Any combination of any subtabs can be configured, differently for each user.

  

There are views for almost everything you can imagine and if there isn't we can build it for you.

 

  • Work may be Fixed Price, Time and Materials (hourly rate) or Fixed Resources.
  • If Fixed Price, a Price or Fee may be specified and the margin set and tracked.
  • Roles, People or Equipment may be assigned with different rates and utilisations.
  • Labour, Equipment and Disbursements may be tracked separately.
  • Planned, Actual (from Timesheets), Estimates to Complete, Forecasts and Variances are tracked.
  • Both Charge Out (Billed) and Cost (Payroll) rates are tracked.

 

This example is typically used by building professionals for tracking fixed work but maybe useful for all industries.

 

 

 

Issue Tracking


As well as planned project work, much of today's time is taken up with unplanned work.   eTrack allows these quickly to be created at click of a button.   You can have as many types as you wish and call them what you like.  There are over 25 existing views (subtabs) to choose from or you can request your own to be customised.

Drop down lists are populated from branches of the tree.

As drop downs are selected so the item is related to the selection.  Thus for example all Requests under Active Projects or ProjectA can be viewed or reported on.

Users may (security permitting) add new items to the drop down and they appear in the tree for future selection.

 

Scheduling and Resource Management

 

The 'Gantt Sheet' feature of etrack combines the usability of a Gantt Chart with the flexibility of a Spreadsheet.   You can edit the hours for any person for any day like you would using a spreadsheet, but also move whole projects around with dependencies, leads and lags while releveling resources in real time.

The Gantt Sheet can display any slice of work such as one project, a portfolio of projects, a person or team's assigned work, a Clients' issues or a Departments' support queries etc.

On the same screen as the work breakdown, you can view work assigned to any group of resources (people, roles or equipment) which will dynamically update as the schedules are changed.

Accounting

 

eTrack is not an accounting package!   It is designed to interface to your accounting package and to do this has an 'Account Sheet' view.      

Any accounting package can be used with etrack such as MYOB, Quick Books, Great Plains, Navision, Peoplesoft, SAP, Oracle financial's, Progen etc. (since a flat file interface is used).

A typical use of the Account Sheet might be:

  1. Staff member clicks a $ button indicating their work is ready to invoice or for a progress payment.

  2. A manager views all Active projects and makes adjustments, write offs (positive or negative) and decides how much to bill.    Fixed price work is shown as a percentage instead of hours.  The manger changes the status of work to Approved.

  3. A book keeper filters the Approved work and generates an export or invoice report.   Then selects a new accounting period.

Templates and Methodologies


A very useful and widely used feature of etrack is its ability to use templates for everything you create.  

The most used are project or work request templates that optionally consist of:

  • Work Breakdown Structures or Lifecycles such as Phases, Stages, Tasks and Activities;
  • Pre assigned Roles with rates;
  • Pre-assigned hourly estimates;
  • Planned Disbursements;
  • Compliance Checklists, approvals etc;
  • Guidelines, procedures, hints and tips;
  • Attached template documents.

A new person template may contain the company work number that is the same for all staff, or the company required user options.

eTrack will support all the main commercial methodologies and any 'best of breed' combination that your company may have developed over the years.  Please see Methodologies for more information.

 

Administrators Solutions


In addition to the Manager features above there are many other features typically only available to etrack administrators.   These include the following.  

Security

  • User login names and passwords.
  • Security Groups.
  • Security Permissions for each group .
  • Security on what can be done to any item (object type).

    By combining what can be done to an item in the tree, with what a user can do, with what a user can see, security becomes bery powerful and flexible.
Configuration
  • Business structure and tree hierarchy.
  • All drop down pick lists.
  • Views (subtabs) for each security group.
  • Import contacts.
  • Synchronize contacts from Microsoft Outlook.
  • Setup email alerts to occur on events such as a Status change or assigning a resource.
  • Many defaults and settings such as 'working hours per week' etc.
Maintenance
  • Run software upgrades.
  • Run health check utilities.
  • Install new users.
  • Create a configurable 'Reporting Database' for use with the eTrack Business Intelligence (BI) module q4bis or other third party reporting and Business Intelligence software tools such as BRIO, Cognos, Business Objects, Simply Objects or Crystal Reports.

    eTrack comes with a complementary 'Maintenance Module' that provides a large number of data integrity and health checks on you database.   It also is used to upgrade the software to a new version.
