eTrack will interface to your financial management system (FMS) or accounting package such as MYOB, Quick Books, Sun Financial's, FinanceOne, Great Plains, Axiom, Navision, Peoplesoft, Adept, SAP, Oracle, Progen...plus other accounting packages with just a small change in file format.

The Account Sheet is the eTrack interface between timesheets and the accounting system allowing managers to...

  • Approve work by projects (as an alternative to approving timesheets) .
  • Apply write offs or write ons (by $ or %).
  • Make adjustments between stages, projects, departments, joint ventures etc.
  • Prepare invoices (by $ or %) .
  • Calculate WIP (Work in Progress) at any level .
  • View profit/loss (to date and forecast) .
  • Prepare part or progress invoices and prepare payment schedules.
  • Export to your FMS or accounting package.

The eTrack Invoice Sheet is an optional addition if you wish to use eTrack to create invoices and statements.   It allows you to...

  • View all invoices and payments, filtered by date, client etc.
  • Generate invoice numbers.
  • Prepare one invoice for a project or client by combining entries from stages.
  • Print invoices and statements, automatically populating with client and project details.
  • Create your own invoice and statement templates (each client/project can be different) .

  • View roll up of all billed amounts by project, client, location, builder, council or any other grouping you wish.

  • Managers can approve projects rather than timesheets and so resolve the problem when staff work on multiple projects of who approves their timesheet.

  • All appropriate managers have access to invoices and payment information (not just the accountants) so they are able to send invoices at an appropriate time.

Account Management

 

 

A typical use of the Account Sheet might be...

  1. A Staff member clicks a $ button for the Stage indicating work is ready to to be considered for (part) billing.
  2. A project manager or director views their projects and makes adjustments, write offs (positive or negative) and decides how much to bill by adjusting hours, dollars or percentage.  The manager changes the status of work to Approved.
  3. The accounts manager filters by 'Approved', reviews, and changes the status to 'To Invoice'. 
  4. The accounts manager or book keeper filters by 'To Invoice' and either:
    a) exports to an accounting package,
    b) prints a report to enter into accounting package manually, or
    c) uses the Invoice Sheet to track Invoices and Payments within eTrack.  

Invoicing


If you prepare invoices and track payments in your accounting package then you will probably not need the Invoice Sheet.   However, some companies find that it is the project manager or director who knows the appropriate time to send an invoice.  In this case, eTrack can be used to prepare and optionally also track invoices, while exporting the same information to your account package for payroll and the general ledger.
